How Olivia Beall collects, uses and looks after your personal information when you use this website or send an enquiry.

Who looks after your information

This website is run by Olivia Beall, a self-employed wedding and event singer based in Manchester, UK. Under UK data protection law, Olivia is the controller of the personal information collected through this site — she decides how it's used and is responsible for keeping it safe.

If you have a question about this policy or about your information, email oliviajbeall@gmail.com.

What the enquiry form collects

When you send an enquiry through the booking form, Olivia receives:

  • your name and email address
  • your phone number, if you choose to give it
  • your event date and venue
  • details about your event, such as the type of event, package, line-up and timings
  • your song shortlist, if you've made one
  • anything else you write in your message

If you get in touch directly by email or WhatsApp instead, Olivia receives whatever you include in your message, along with your email address or phone number. WhatsApp conversations are handled by WhatsApp (Meta) under its own privacy policy. Please only share the personal information your enquiry needs.

How your information is used

Your details are used only to reply to your enquiry, check availability, prepare a quote and — if you decide to book — plan and perform the music for your event. The lawful bases for this under UK GDPR are:

  • Steps before a contract — replying to your enquiry and preparing a quote, because you asked for them.
  • Contract — planning and performing at your event once you've booked.
  • Legitimate interests — keeping a record of enquiries and following up on a quote you asked for, in ways you'd reasonably expect.
  • Legal obligation — keeping booking and payment records for tax purposes.

After you send an enquiry, you'll get an email with a copy of it and a private link to a page showing its status (for example, quote sent or booked). That page shows your event details but not your email address, phone number or message. Anyone with the link can see it, so please keep it to yourself.

Your details are never sold, never shared with anyone for their own marketing and never added to a mailing list.

Services that help run this website

A small number of trusted providers handle personal information on Olivia's behalf, under terms that require them to keep it secure and use it only to provide their service:

  • Vercel — hosts this website and keeps a copy of each enquiry in private storage that only Olivia can open, through her password-protected website editor. Like any web host, it also processes technical data such as your IP address to deliver pages and keep the site secure.
  • Resend — delivers the enquiry form to Olivia's inbox by email.
  • Google (Gmail) — Olivia's email inbox, where enquiries are received and answered.
  • Google (Places) — when you start typing in the venue box, what you've typed so far is sent to Google to suggest matching venues. Nothing else from the form is sent.
  • Google (Maps reviews) — when reviews from Google are shown on the home page, they're loaded from Google as you scroll to them, and reviewers' profile pictures come straight from Google's servers, which can see your IP address. Nothing you enter on this site is sent to Google.

Some of these providers are based in, or store data in, the United States. Where personal information leaves the UK, it's protected by safeguards recognised under UK law, such as the UK–US data bridge or the UK's international data transfer agreement.

How long it's kept

  • Enquiries that don't become a booking are deleted within two years of your last message.
  • If you book, your details are kept for as long as needed to plan and perform at your event, then with Olivia's business records for as long as HMRC requires — at least five years after the relevant Self Assessment deadline.

Your rights

Under UK GDPR you have the right to:

  • ask for a copy of the personal information Olivia holds about you
  • have anything inaccurate corrected
  • have your information deleted
  • object to, or ask Olivia to limit, how your information is used
  • receive your information in a format you can pass on to someone else

To use any of these rights, email oliviajbeall@gmail.com. There's no charge, and you'll get a reply within one month.

If you're unhappy with how your information has been handled, please get in touch first so Olivia can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk (opens in a new tab).

Cookies and local storage

This website doesn't use tracking, analytics or advertising cookies. Two features store a little data, and only when you use them:

  • Song shortlist — if you use the song picker, your shortlist is saved in your browser's local storage so it's still there when you reach the booking form. It stays on your device unless you send it with an enquiry. Clear it at any time by removing the songs or clearing this site's data in your browser.
  • YouTube videos — the videos on the Watch page are embedded from youtube-nocookie.com and only load when you press play. Until then, the preview images are delivered by this website, so nothing about your visit is sent to YouTube. Once you press play, YouTube (Google) may store cookies or similar data on your device under Google's own privacy policy.

Changes to this policy

This policy may be updated from time to time — for example, if the website starts using a new service. The date at the top of this page shows when it last changed.
